Who We Are

Sites for Scouts (“we”, “us”) provides an online platform that helps scout troops manage their websites, members, events, and troop bookkeeping. This policy explains what information we collect, how we use it, and the choices you have.

Information We Collect

• Account information — names, email addresses, and login credentials for troop leaders, members, and parents who create or are invited to accounts.
• Troop data — information troop leaders and parents enter into the platform, such as scout names, event signups, schedules, and account balances.
• Billing information — subscription payments are processed by Stripe. We never see or store full card numbers; Stripe shares only the details needed to manage your subscription.
• Usage information — standard technical data such as IP address, browser type, and pages visited, used to keep the service secure and reliable.

Children's Privacy

Accounts on Sites for Scouts are created and managed by adults — troop leaders and parents or guardians. Information about scouts is entered by those adults for troop-management purposes. We do not knowingly collect information directly from children under 13, and scouts do not have their own logins. If you believe a child has provided us information directly, contact us and we will delete it.

How We Use Information

• To provide, maintain, and improve the platform.
• To send transactional emails such as account activation, trip signups, balance reminders, and billing notices.
• To respond to support requests.
• To protect the security and integrity of the service.

We do not sell your personal information, and we do not use troop data for advertising.

How Information Is Shared

Troop data is visible only to the members of your troop according to the roles and permissions your troop's leaders configure. We share information with service providers who help us operate the platform (such as Stripe for payments and our hosting provider), and when required by law.

Cookies & Analytics

We use cookies required to keep you logged in and to remember basic preferences.

On our public marketing pages (sitesforscouts.com), we use Google Analytics to understand how visitors find and use our site and to build advertising audiences so we can reach people who may be interested in Sites for Scouts. This involves analytics and advertising cookies from Google. We also use Microsoft Clarity on those pages to see how visitors interact with them, through heatmaps and session replays.

Within the troop platform itself, we use Microsoft Clarity with strict privacy masking to find confusing spots in the product so we can improve it. Strict masking means all text on the page — including names, balances, and anything you type — is hidden from these recordings. We do not run advertising tools inside the troop platform.

You can opt out of Google Analytics with the Google Analytics opt-out browser add-on, manage ad personalization in your Google Ads Settings, or block these cookies in your browser settings.

Data Retention & Deletion

Troop data is retained while your troop's subscription is active. If your troop cancels, you can request export or deletion of your troop's data by contacting us.

Security

We use industry-standard measures, including encryption in transit, to protect your information. No online service can guarantee absolute security, but protecting troop data is a core part of how we build the platform.

Your Rights

You may request access to, correction of, or deletion of your personal information at any time by emailing us at the address below.

Changes to This Policy

If we make material changes to this policy, we will update the date above and notify troop administrators by email.
